Data collection:
- Information about the browser type and version used
- The user's operating system
- The user's internet service provider
- The user's IP address
- Date and time of access
- Websites from which the user's system accesses our website
- Websites accessed by the user's system via our website
In addition, we use the open-source software tool Matomo (formerly PIWIK) on our website to analyse the browsing behaviour of our users. The software sets a cookie on the user's computer (see above regarding cookies). When individual pages of our website are accessed, the following data is stored:
- Two bytes of the IP address of the user's accessing system
- The accessed webpage
- The website from which the user arrived at the accessed page (referrer)
- The subpages accessed from the accessed webpage
- The time spent on the webpage
- The frequency of visits to the webpage
The software runs exclusively on the servers of our website. Personal data of users is only stored there. Data is not passed on to third parties.
On our website you have the option to subscribe to a free newsletter. Your email address will be stored by us from the input form for the newsletter. The date and time of registration are also recorded.
Registration as a Speaker & Call for Participation
On our website you can participate in our Call for Participation. In order to process your registration, we collect and process the following data based on the consent declaration you provided during registration:
Required fields:
- Name, pseudonym
- Links (optional),
- Job,
- Position,
- Photo, avatar
- and short biography
In addition, we process non-public contact data (email, mobile phone number, gender (voluntary), country of origin (voluntary)) for the purpose of organising the events.
After registration, we collect and store the data in the content management system (CMS). The data is forwarded internally and exported from the CMS to our local database for further processing.
We use the data to organise the event, in particular
- we publish some of the data (e.g. name, position, email address) in the programme,
- we print some of the data (e.g. name, position) on your name badge,
- we pass some of the data (e.g. name, job, function) on to the moderators of the forums/workshops,
- we may use your contact details (e.g. name, email address) to send event-relevant materials (e.g. programme, evaluation, conference proceedings),
- we pass your data (e.g. name, position, function) on to the cooperating institution insofar as this is necessary for the provision of services.
You have the option to object to the use of your data for these purposes at any time, in whole or in part, by sending an email with your objection to it@re-publica.com. We will then immediately cease sending further information and your data will be deleted. In this case, we may no longer be able to respond to your enquiry or guarantee your participation in the event. After publication of the programme (approx. 4–8 weeks before the event), it is no longer possible to object to the use of data as described under point 1.

Eventbrite
Within our event offering, functions and content of the Eventbrite service are integrated. This includes the ticket shop, which is embedded via a JavaScript widget. When the widget is loaded, a connection to Eventbrite's servers is established, transmitting your IP address as well as information about your browser and device to Eventbrite. When you purchase a ticket, Eventbrite processes the data you provide (e.g. name, email address, billing and payment details, and any further information requested during the order process) in order to complete your order and send you your ticket. The legal basis for this is Art. 6(1)(b) GDPR.
Eventbrite uses cookies and comparable technologies in this context. In addition to technically necessary cookies that enable the order process and remember which shopping cart belongs to you, Eventbrite also sets cookies for analytics, personalisation and marketing purposes. These non-essential technologies are only activated with your consent (Section 25(1) TDDDG, Art. 6(1)(a) GDPR). You can withdraw your consent at any time with effect for the future via our cookie settings.
Eventbrite also processes personal data in the USA. Eventbrite is certified under the EU-US Data Privacy Framework and additionally relies on the European Commission's Standard Contractual Clauses pursuant to Art. 46 GDPR.
Where Eventbrite processes data on our behalf, this takes place on the basis of a data processing agreement pursuant to Art. 28 GDPR. Beyond this, Eventbrite processes certain data — in particular usage, device and tracking data for its own analytics, product and advertising purposes — as an independent controller. Eventbrite's own privacy policy applies to that processing.

c. Purpose of processing
The temporary storage of the IP address by the system is necessary to enable delivery of the website to the user's computer. For this purpose, the user's IP address must be stored for the duration of the session.
In addition, we use the data to optimise the website and to ensure the security of our information technology systems. Statistics derived from the collected data are also used as proof of legitimacy for funding provided. No evaluation of the data for marketing purposes takes place in this context.
These purposes also constitute our legitimate interest in data processing pursuant to Art. 6(1)(f) GDPR.
The email address is processed for the purpose of sending our newsletter.
d. Legal basis
Legal basis for the newsletter:
Where we obtain the consent of the data subject for processing operations involving personal data, Art. 6(1)(a) GDPR serves as the legal basis.
Legal basis for web analysis:
Where processing is necessary to safeguard a legitimate interest of our company or a third party, and where the interests, fundamental rights and freedoms of the data subject do not override the former interest, Art. 6(1)(f) GDPR serves as the legal basis for processing.
f. Recipients
User data is transmitted to:
Hetzner Online GmbH (service provider for the operation of the web system and the server)
Industriestraße 25
91710 Gunzenhausen
Germany
g. No transfer to third countries takes place.
h. Storage period
Data is deleted as soon as it is no longer required for the purpose for which it was collected. In the case of data collected to provide the website, this is when the respective session has ended.
Where IP addresses are stored in log files:
In the case of data stored in log files, this is the case after no more than four weeks. Storage beyond this period is possible. In such cases, the IP addresses of users are deleted or anonymised so that it is no longer possible to identify the accessing client.
The user's email address is stored for as long as the newsletter subscription is active.
